Oasys, the software division of Arup, has come up with a solution
to the problem of e-mails with project-specific attachments
arriving when the intended recipient is absent, causing progress to
grind to a halt.
Mail Manager, a plug-in for Microsoft Outlook, moves
e-mails into structured file system folders, allowing messages to
be continually accessed and managed by a whole team.
Documents are filed alongside other related documents. Mail
Manager's notification and search facilities ensure that colleagues
are made aware of important e-mails and can easily find them.
Alec Milton, director of Oasys and an associate director of Arup,
said: "Currently, information stops with the individual, and
important information is being hidden in personal accounts.
"It is sensible to take them out of the current system, where
personal accounts are groaning with weight, and put them in an area
where everyone working on the project can see them."
Alan Ogden, who works for Oasys, said: "The majority of
business-to-business communication is now conducted by e-mail.
"However, much of this information is lost in personal e-mail
accounts or archived in an inefficient manner. Mail Manager allows
information to be archived in public folders, private folders or on
a file server."
After evolving within Arup, Mail Manager has found its first two
commercial users, George Hutchinson Associates and AD Architects. A
major top 10 construction group is also looking to adopt the
system.
A 30-day trial offer is available and cost varies according to the
number of users within a company. The figure starts at £102
and drops to £40 per user in larger companies.
