Our client is a major contractor within the MOD sector and are currently going through a large phase of recruitment, at present they are recruiting for a Site Administrator to join an existing team in the Norfolk region. The job holder will be the initial contact for all suppliers and contractors in relation to all invoice issues and to ensure all invoices are processed timely and accurately and paid in accordance with Turner FM Terms and Conditions. Timely submit sales invoices to the Client ensuring quick payment. Prepare monthly and annual CIS returns.
Roles and Responsibilities 1. To provide Administrative support to the Contract Team based at the Site & Area Office to ensure the smooth and successful running of the Contract Co-ordination of PPM ? Organise and attend meetings: to include booking rooms and accurately recording and distributing minutes when required ? Provide support and assistance to both Site and Area staff when required. ? Carrying out site visits, to inform/notify all staff of the outcome of the monthly meetings. ? Provide support and assistance to any member of staff, on the PCT system. ? Train and advise staff as to the correct procedures for carrying out various tasks. ? Provide information for Management monthly report. ? Focal point of contact on any issues within PCT. ? Responsible for accurately sorting, recording and distributing the Site Office Incoming correspondence. ? Responsible for ensuring that all outgoing correspondence is secured correctly, addressed accurately and dispatched in a timely manner. ? To be responsible for the accurate maintenance of the Site Office filing systems. ? Create and maintain documents as required ? Appropriate control of Site Documents using the relevant IT system. ? Maintenance of all Annual and Sick leave records for Site Staff ? Maintenance of Pool Vehicle Records ? To be responsible for Site Petty Cash accounts. ? Any other Administrative duties that may fall within the jobholder?s skills and experience. 2. To be responsible for the accurate and timely administration of the PCT system at Area & Site ? Assisting the Area & Site Team as required. ? Populate and generate the Planned Maintenance Month inspections of work orders and issue them to the appropriate contractor(s). ? Adding/removing tasks/information, which is not applicable to a particular contract/site when required ? Raise any Works or Purchase orders as required. ? Updating of Work Orders on PCT as required ? Updating and producing reports from PCT. ? Ensuring that the correct information & forms are being provided by both Site & Area Staff. ? Generating any reports prior to meetings. ? Advise Area and Sites of any amendments/changes to the system were required. ? Updating of Planned Maintenance information on PCT for sites ? Update PCT and advise any contractors if amend(s)/addition(s) are relevant to them ? Checking deliveries against Invoices before receipting on PCT. ? Input of Monthly Health and Safety statistics into the IT System. ? Compilation of the Site monthly management report for Area Manager?s consideration and Input. ? All other duties which are covered within the PCT System. 1. To be responsible for all local site finance, purchase and sales ledger ? Processing supplier invoices against authorised PO?s & Expenses ? Deal with supplier queries in a professional manner ? Filing invoices after processing ? Ensure timely preparation of weekly payment run ? Present weekly reports to Site Manager for review ?
